What is a virtual office?

A virtual office (virtuelles Büro) gives your business an address (Geschäftsadresse) and mail handling without requiring you to rent a permanent office. Some products can be used for a Handelsregister entry; others are correspondence services only, so you must check the specific tier. A registration-valid address must be a ladungsfähige Anschrift: the company must be reachable there, documents must be capable of being served there and the company must have a documented right to use the address. A Postfach or a forwarding-only arrangement does not meet that test.

Which virtual office provider is best in Germany?

We compared ten of the most prominent virtual office providers operating in Germany. Every provider is scored using the shortest available term for the product applicable to registration. Cheaper correspondence-only tiers and discounted long-term prices are not used. First-year cost is twelve months at that price, plus setup and scanning at five letters a month; refundable deposits are shown separately. All comparison amounts exclude VAT. Regus is scored using the private-office route it requires for registration. Facts come from published or directly quoted provider information.

Other providers: There are many other virtual office providers in Germany, such as ebuero, MailboxNow, Design Offices and many regional business centres. To keep the comparison manageable, we have focused on the providers that come up most prominently when people search for a virtual office and that publish complete, consistent information we can compare. How we scored the providers

Each provider is scored 1–5 on five equally weighted criteria, then averaged to one decimal. Facts come from published or directly quoted provider information. Olea is scored by the same rules as every other provider.

Registration suitability and transparency. The score reflects whether the provider offers a product for a Handelsregister entry and clearly identifies the applicable tier, price and intended registration use. A provider with no registration-valid virtual office product scores 1.

First-year cost. Twelve months at the shortest-term price, plus setup and scanning at five letters a month. €500 or less scores 5 and €3,000 or more scores 1; prices between those points are scored proportionally. Refundable deposits are excluded and shown separately.

Mail handling. The score reflects the service available: digital access or scanning, included allowances and forwarding. Paid handling affects first-year cost rather than being penalised twice.

Buying flexibility. The score reflects the shortest available commitment, setup fee, deposit and whether the registration-valid product can be bought online. The length of the commitment carries the most weight.

Coverage and workspace. One city scores 1, two to three cities 2, four to six cities 3, seven to fifteen cities 4 and sixteen or more cities 5. A provider with no workspace access loses one point, to a minimum of 1.

“Best overall” is the highest average. Other verdicts describe a clear distinguishing fact or use case; they are not separate awards.

The German virtual office market in numbers

Is a virtual office valid for company registration?

Yes. It must be a ladungsfähige Anschrift: the company must be reachable there, documents must be capable of being served there and the company must have a documented right to use the address. A GmbH or UG must give an inländische Geschäftsanschrift – a domestic business address – when it applies for its Handelsregister entry (§ 8 Abs. 4 Nr. 1 GmbHG). The Federal Court of Justice has held that an address does not meet the service requirement where the addressee cannot be reached there and the arrangement merely forwards mail (BGH, 07.07.2023 · V ZR 210/22). A Postfach also fails because documents cannot be served on the company there. Whether a provider permits its address to be used for registration is a separate contractual question, which is why this comparison checks the specific tier. What each provider offers

Each profile shows the provider’s overall score and its five criterion scores (registration · cost · mail · flexibility · coverage).

Olea – best overall

Olea offers one registration-valid virtual-office product across 18 addresses in seven German cities. Every address includes a digital mailbox, scanned weekly, with five scans a month included and then €0.79 a letter; any eligible scanned letter can be forwarded for €1 plus postage, and most addresses also offer free pickup and scheduled forwarding from €10/month. Meeting rooms, desks and private offices can be booked, and setup is online. Prices range from €69 to €299/month across its different addresses. There is no setup fee, deposit or minimum term, and annual billing receives a 15% discount. After the compliance checks, the confirmation of the right to use the address is issued through the customer account.

YourGermanAddress – lowest first-year cost

YourGermanAddress sells a single address at Erfweiler Straße 12 in Dahn, a small town in Rhineland-Palatinate, from €39.99/month with no setup fee, deposit or minimum term, monthly cancellation and online checkout. Its published terms of use state that the address can be used for business registration, tax registration, registrations with authorities and registers including the commercial register, and the Impressum. All tiers include a digital mailbox; the Basic and Premium tiers (€129.99/month) differ in how quickly mail is digitised. Forwarding is ordered by existing customers inside the customer hub and is not priced publicly. There is no workspace and the terms exclude customer visits and staff at the address.

Clevver – digital address in nine cities

Clevver is a business address and digital mailbox service run fully online, with ten addresses in nine German cities. Its registration-valid ClevverAddress tier (sold as “Registered Office”) starts at €79.95/month on its shortest, three-month term in Berlin, Hamburg and central Munich and at €139.95 in Frankfurt, with the three months paid upfront. Longer terms cost less: on 12 months it is €59.95 in Berlin, Hamburg and central Munich, €69 in Hanover, €89.95 in Düsseldorf and Cologne, €99.95 in Frankfurt, Bremen and Straßlach-Dingharting near Munich and €105 in Nuremberg. The tier accepts 20 incoming letters a month and includes five envelope scans and five content scans, with up to six pages per scan. A refundable deposit of three months’ fees applies. There is no workspace. It suits founders who want an address and digital post with the flexibility to choose across several German cities without a workspace package.

Teeberg – daily scanning in Berlin

Teeberg runs a single address at Kollwitzstraße 76 in Prenzlauer Berg, Berlin. Its virtual office is €79/month with no minimum term and monthly cancellation; the €63/month price uses annual billing and a 12-month term. Every letter is scanned daily at no charge, forwarding is €10 plus postage per shipment and workspace is available on demand at a discount. There is no setup fee or deposit and the product can be bought online. The €35 Postanschrift tier is for correspondence only, not the Handelsregister.

ecos work spaces – widest registration-valid city coverage

ecos work spaces (formerly ecos office center) is a network of 25 owner-run business centres in 22 German cities, the largest footprint after IWG and the only one reaching cities such as Wiesbaden, Darmstadt and Nuremberg. Its Virtual Office Pro tier, the one sold as a Firmensitz, is priced per centre: €129/month in Hamburg (with ten hours of shared office), €159 in Munich (with two coworking days), €179 in Düsseldorf, Frankfurt-Eschborn and Hanover-Süd, €239 in Wiesbaden, €280 in Berlin and €350 in Darmstadt. The €79 Basic tier is for correspondence. Scanning is €0.50 a letter and forwarding a monthly flat fee plus postage. The network FAQ says Virtual Office customers usually commit for six months and pay a security equal to three gross monthly fees; individual locations can vary.

Smarvo – low-cost scanning

Smarvo sells a single address in Kamp-Lintfort, North Rhine-Westphalia. Its Plus plan at €59/month is valid for the Handelsregister and Gewerbeamt and gives you your own address and letterbox, not a c/o line; the €9 Basic plan is c/o only. Every letter is scanned to a searchable PDF once a week (five times a week on the €139 Pro plan), extra forwarding is €3 a letter plus postage, there is no setup fee or deposit and you buy online with a 30-day money-back guarantee. The term is twelve months, paid monthly.

Office Club – workspace included

Office Club is a German coworking operator with 15 locations in ten cities. Its Firmendomizil tier, valid for a Handelsregister entry, is priced by location: from €199/month on its shortest three-month term and from €169/month on twelve months, rising at the city-centre addresses to €269 on three months and €239 on twelve. Setup is €49 with no deposit, and Office Club itself says its Geschäftsadresse tier, from €89/month, is not recommended for the register. The tier includes one flex-desk day and four meeting-room hours a month. Mail pickup is free, scanning is €19/month plus €0.79 a document and forwarding €6 a shipment plus postage. Minimum terms are three, six or twelve months; there is no monthly option.

Satellite Office – prominent city-centre addresses

Satellite Office has 14 addresses in six cities, in buildings such as the Kurfürstendamm in Berlin, the Königsallee in Düsseldorf and the Jungfernstieg in Hamburg, each with a staffed reception and business lounge. Its Virtual Office mit Handelsregistereintrag starts at €179/month in Berlin (€199 in Frankfurt, €219 in Munich) on a monthly term with no long-term contract; the cheaper business-address tier, €119 to €149 depending on the city, is explicitly not for the Handelsregister. It is bought by enquiry form, with a €99 setup fee and a deposit of three months’ fees, and scanning is €39/month.

CONTORA – flagship buildings

CONTORA Office Solutions specialises in landmark addresses in top districts – the Palais am Pariser Platz in Berlin, the TaunusTurm in Frankfurt – with ten centres in six cities, staffed reception, meeting rooms and concierge service. Its virtual office is priced by building, from €169/month on a monthly term at the Palais am Pariser Platz to €299/month at the Palais an der Oper in Munich, through a configurator rather than a published price list, with a deposit of three months’ fees. Mail can be scanned, forwarded or held, with managed mail handling at €79/month.

Regus (IWG) – largest network, but not registration-valid

Regus, Spaces and HQ are three brands of one company, IWG, and share 287 German locations, so they appear here once. Regus advertises a business address from around €2/day – but its own company-registration rules for Germany state: “A registered legal business address is only available with a private office plan. Virtual Office plans (including Business Address, Call Answering, Virtual Office and Virtual Office Plus) cannot be used for a registered business address in Germany.” The cheapest Regus route to a Handelsregister entry is therefore a private office, which German centre pages price at €9 to €17 per person per day – roughly €270 to €510 a month – and which is quoted individually. No mail-handling option (collection, forwarding or scanning) has a published price. Regus offers bookable workspace in the most German locations, but its virtual-office plans cannot be used to register a company in Germany.

• Berlin. Every Berlin GmbH and UG is registered at one court, the Amtsgericht Charlottenburg, but the Gewerbeanmeldung goes to the Ordnungsamt of the Bezirk where your Betriebsstätte is. Mitte runs from Torstraße and Rosenthaler Platz, the heart of Berlin’s startup scene, to the landmark squares at Potsdamer Platz and the Brandenburg Gate, and Charlottenburg, around the Kurfürstendamm, is western Berlin’s established business address. • Munich. The Amtsgericht München keeps the register for the whole city, and the Kreisverwaltungsreferat handles every Gewerbeanmeldung. Maxvorstadt suits startups and young companies that want a central address at a lower price, while Odeonsplatz and the Altstadt, around Ludwigstraße and Maximilianstraße, suit established firms that meet clients in person. • Frankfurt. The Amtsgericht Frankfurt am Main is the register court, and one office, the Gewerberegister of the Ordnungsamt, handles every Gewerbeanmeldung. The banking district is Frankfurt’s main business address and suits most companies, not only banks and fintechs; Olea offers addresses in the WINX Tower, the TaunusTurm and the Marienturm from €199 to €269/month. • Hamburg. Hamburg is a city-state, so the Amtsgericht Hamburg is the single register court, while the Gewerbeanmeldung goes to the Bezirksamt responsible for the business. The Neustadt and the Rathaus quarter give startups and growing companies a central address, and Ballindamm and Neuer Wall, on the Binnenalster, suit established firms that receive clients. How to choose the right virtual office

Run any provider past five questions before you commit.

1. Is the tier you are quoted valid for the Handelsregister? Six of the ten providers here advertise a cheaper entry product that is not registration-valid, and the largest network sells no registration-valid virtual office at all. Ask the provider to confirm in writing that the quoted tier permits the intended registration use.
2. What does the first year actually cost, and what do you pay on day one? Add the setup fee, the deposit you must fund, twelve months of scanning at the volume you expect and any forwarding. The table’s first-year cost does this at five letters a month; the profiles show the day-one cash.
3. How long are you committed? Compare the shortest available term with the price you are actually using. A low monthly price may require a three-, six- or twelve-month commitment.
4. Does the address give the right impression? Any compliant address works for the register. If clients, investors or partners will judge the building or district, pay for the address, not the tier name – and check where it actually is: two of the cheapest addresses here are in small towns.
5. Will you use the workspace? If you will, choose a provider whose desks and meeting rooms you can book easily where you are; if you will not, do not pay for them.
