What a virtual office in Germany can and can’t be used for – Handelsregister, Impressum, Gewerbeamt, bank, Amazon and Google.
For your Handelsregister entry and your Impressum, German law requires a ladungsfähige Anschrift: a real street address where documents can be served on you in person. A virtual office meets that standard when it’s a genuine, staffed location that actually receives your mail, and fails when it’s a name-only forwarding service.
A ladungsfähige Anschrift is an address where the person can actually be reached, with a serious possibility of documents being handed over in person. The address of a service that merely forwards mail does not qualify.

Valid as soon as the address is genuinely serviceable: a real, staffed location where documents can be served counts as a ladungsfähige Anschrift. In practice, you give your virtual office’s use-of-address letter (Nutzungsüberlassungserklärung) to the notary as part of incorporation, and it becomes the business address published on your Handelsregister entry.
The Impressum applies the same test as the register: it must show an address where you can actually be contacted (§ 5 DDG). You then publish the address on your site alongside your company name, contact details and register entry.
Gewerbeanmeldung is a local decision under § 14 GewO. For online businesses, freelancers and knowledge work, a virtual office is routinely accepted. Trades that need premises customers visit – a workshop, a shop, food – are expected to register where the activity actually happens, and a virtual office won’t do.
It works as your Geschäftsanschrift for official post and your tax questionnaire. What it doesn’t do is decide where you’re taxed: the Finanzamt works that out from where you actually operate – your Betriebsstätte and Ort der Geschäftsleitung (§§ 10, 12 AO) – not from the address on your filing.

Under the Geldwäschegesetz (GwG, anti-money-laundering rules), a bank has to verify your business address when you open an account, so it needs to be a real, serviceable address rather than a Postfach. A virtual office that matches your Handelsregister entry normally clears this without issue.
Platforms like Amazon, Shopify, Stripe and PayPal verify your business against your official registration documents – for a German company, the Handelsregisterauszug, which already shows your business address. Some go a step further and ask for a matching proof of address (a recent bank statement or utility bill), and Amazon may post a verification code to the address on file. A virtual office that’s already your business address and receives your mail clears all of this.
A virtual office can work for a Google Business Profile, but only on Google’s terms. Google only lists addresses where your business has a genuine presence: staffed during your stated hours, with your signage and able to receive customers. An unstaffed, mailbox-only address won’t qualify, but a real, serviced office can. Google verifies the address before it goes live – usually by postcard, sometimes by video – and a staffed office handles either. Plenty of businesses list virtual office addresses this way; the key is choosing a genuinely staffed location and keeping the listing consistent with your registration.
